1. Initiate Bulk Load
- Locate the table you want to load data into.
- Open the Actions dropdown menu (upper-right corner) and select Bulk Load.
2. Upload a File
- A modal will appear prompting you to upload a file. You can either use your own file or download a template.
-
Download Template (Optional): Expand the instructions section for a template for the table you are on.
- Click Download template file in the format you want to use.
- Upload Your File: Drag and drop your file into the upload field or select it from your file explorer.

3. Review and Map Fields
- Click Next to proceed to the Review and Mapping screen. Here, you’ll see the first 5 rows of your file for reference (your entire file will still be processed).
- On this screen, you’ll need to review and map field values:
-
Assign Field Values: Decide if values for each field come from:
- A column in the file (select the column from the dropdown), or
- A default value (e.g., the same value applied to all rows, such as Client ID or "Use Cold Track OMS" = true).
- Map Values (Optional): If field values aren’t translating correctly (e.g., "FDX" not matching "FedEx"), enable Map Values. This allows you to define how file values should translate to CTL values.

4. Validate Your Data
- After mapping, click Next to proceed to the Validation step. On this screen:
- Preview Records: Review up to 10 sample records to verify accuracy.
- Validate: Confirm that all required data is correct and meets system requirements. This step ensures smooth processing.
5. Review and Finalize
- The Review screen provides a summary:
- Record Count: Shows how many records are ready to be inserted.
- Errors: Flags any mapping issues.
Best Practice: Save your settings as a Bulk Load Profile for future use by selecting Save Bulk Load Profile As. You’ll be able to reuse the Profile which includes the mappings and adjustments anytime you load in a file like you just did in the future.
- Click Submit to finalize the upload.
6. Summary and Completion
- Once submitted, you’ll see a summary of the process:
- Records Successfully Inserted
- Failed Records (if any)
- Close the modal to view your newly uploaded data in the table.
That’s it! Your data is now loaded.
FAQ:
-
How does Bulk Load handle Excel functions?
- Bulk Load captures the data as it appears in the file, including values generated by Excel functions. -
What happens if a record being loaded already exists in ColdTrack Live?
- The Bulk Load process only inserts or creates new records. If you need to update existing records, use the Bulk Edit function instead. What are the most common errors, and how can I fix them?
-
- Unrecognized Values – If a value isn’t recognized (e.g., typing "FedX" instead of "FedEx"), the system will return an error. Double-check your data during mapping to avoid this.
- No Previews – If the preview screen is blank, there’s an issue with the data. The next screen will display details about the error so you can correct it.
