Bulk Load lets you quickly import large amounts of data to ColdTrack Live Tables without manually entering each entry. This method saves time and reduces errors by uploading data directly from an Excel or CSV file. You can use this feature for items, orders, parcels, and more.
Steps to Bulk Load
Find the table you want from the Actions menu and click “Bulk Load”.
A modal will appear prompting you to upload a file.
- Proceed with the following steps:
Upload a File
You can either upload your own file or use ColdTrack Live’s templates.
- Note: Only bulk load in batches of 100,000 or less for best performance.

Download the Template (Optional):
- Click the “Download template file” link to download a file with the required headers.

Add Your File:
- Drag and drop your file into the upload field, or select it from your file explorer.

Proceed:
- Click Next to move to the Mapping step.
File Mapping / Value Mapping

File Details:
- Confirm your file’s layout and data preview.
- Indicate if the file has a header row (Yes/No).
- Select the appropriate format:
- Flat Format: No child records in the table.
- Wide Format: One row per order, including multiple line items.
- Tall Format: One row per line item, supporting unlimited line items per order.
Field and Value Mapping:
- Check the Preview Values section to verify the Field mapping CTLive interpreted is correct.

- A column in the file (select the column from the dropdown), or
- A default value (e.g., the same value applied to all rows, such as Client ID or "Use Cold Track OMS" = true).

- Map Values (Optional): If field values aren’t translating correctly (e.g., "FDX" not matching "FedEx"), enable Map Values. This allows you to define how file values should translate to CTL values.

Additional Fields:
- Optionally map extra fields following the same process as required fields.
When all fields are mapped and verified, click “Next” to proceed.
This step ensures that your file’s data matches the correct columns in ColdTrack Live.

Bulk Load Profiles (Optional):
- Save your mapping settings for future uploads by selecting “Save Bulk Load Profile View”. Name and Save the view.
- Select “Saved Bulk Load Profiles” dropdown to view Saved or Shared Profile Views. You can also start fresh by choosing “New Bulk Load Profile.”
Review
In this step, you’ll validate your data and preview what will be inserted into the table.
Validation
You will have the option to validate your records prior to proceeding (recommended):

Keep an eye out for:
- Record Count: See how many records are ready for insertion.

Preview: View a sample of your data.
- Note: If you do not see any preview displayed, run validation.
- Errors: Most mapping issues will be flagged here.
- Best Practice: Save your settings as a Bulk Load Profile for future use by selecting “Save Bulk Load Profile As”.
Once you have finished reviewing your records:
- Click “Next”. You will see how many records were processed and how many will be inserted.
- Click “Submit” to finalize the process.
Result
After submitting your bulk load, a will display the following Process Summary:
- The number of records successfully inserted.
- Any records requiring adjustments.
Once complete, close the modal and confirm your new data in the table.
