What is Operations Overview?
The Weekly Operations Overview is a dashboard that shows all of your orders that are scheduled to be shipped within the selected service week. You can use this dashboard for a quick view of the most relevant metrics and statuses on these orders. There is also a Daily Operations Overview, which lists the same Order data as the Weekly Operations Overview, but for a specific day. For this article, we will focus on the Weekly Operations Overview, but keep in mind the functionality is the same on both.
- Note: Data in the Operations Overview will not fully match the Order & Shipment Overview Dashboard as the Operations Overview is completely reported at the order level, while the Order & Shipment Overview Dashboard is reported as a combination of Orders and Parcels. Operations Overview Location
There are two ways to navigate to the Operations Overview, the first is through the Left-Hand Navigation Menu. The second way is through the Quick Navigation Tool:
Left-Hand Navigation Menu
Within the Left-Hand Navigation Menu, select “Fulfillment”. Then select “Weekly Operations Overview” or “Daily Operations Overview”. This will take you directly to the Operations Overview Dashboard for your time frame selected:

You can also navigate to this dashboard by using the Quick Navigation Tool, and typing in “Operations Overview”. You will have the option to select “Daily Operations Overview” or “Weekly Operations Overview”:
Information in the Dashboard
At the top of the dashboard, you will see a dropdown for Warehouses. You can choose between CTL warehouses, or Real Cold Warehouses, as well as individual warehouses. You can also adjust the timeframe by selecting the dropdown to the right.
- Note: Fulfillment data may not be available for non-CTL warehouses.
Operations Overview Metric Widgets
The Operations Overview has 4 summary widgets at the top, which display the top metrics for all your orders scheduled to be shipped within the given week. This gives you a view of the most important order metrics at a glance and a way to easily identify any errors that may be occurring. These widgets are split into the following 4 sections:
- Scheduled Orders: All orders scheduled for shipping in the selected week.
- Shipped Orders: All orders currently that have shipped during the selected week.
- Order Errors & Exceptions: All orders facing errors in optimization or fulfillment and exceptions during shipping for the selected week.
- Orders Delivered On Time: Percentage of orders that arrived within carrier service SLA during the selected week.
You can hover over any of these headers to see the descriptions listed above for quick reference:
You will see a value associated under each header. These values also include a % value to the right, comparing how the selected week compares to the week prior. You can select any of the totals within the sections to navigate to a corresponding table for that data. Underneath the percentage, there is a “WOW” or “Week Over Week” text. Hover over this to see the value from the previous week!
- For Example: You want to view all orders shipped within a given week. Navigate to the Shipped Orders widget, and select the total amount of shipped orders. This will navigate you to a table with all orders that have been Shipped.
Order Statuses
Underneath the Operations Overview Metrics, you will see the “Order Statuses” table section, which will include metrics on all orders scheduled to be shipped within the given week and their statuses:
- Site: Each line within this table is a specific site. In other words the warehouse or other storage facility housing your product.
- Canceled: The amount of orders canceled for the given week.
- Optimization: Overview of orders being optimized.
- Fulfillment: Overview of orders in the process of being fulfilled.
- Shipping: Overview of shipping stages for orders.
- Summary: Summary of orders and statuses.
There is also a “Totals” row at the bottom, which displays data for all warehouses.
You can click-into any of the values within this table to navigate to the CTL table associated with the data:
If there are any errors at the site level, a badge with the count of errors will display to the right of the values. To identify the error types rolling up to the total, expand the caret toggle on the far right side of the row - errors are displayed in red font:
Clicking on the error value in either place will navigate you to a table that’s filtered to show the order(s) affected by the error.
In addition to errors, in the expanded view you can also see various sub-statuses of a site or total summary line:
- Note: If a line is for a site that is not a ColdTrack site, we will not have access to the Fulfillment data. If there is no data, you will see a message stating “Data Not Available” for that section.
Order Status Definitions
Each Metrics section has a handful of statuses with a value associated. You can hover over any of these statuses for a definition. See below for a detailed list of these definitions:
Optimization:
- Accepted: Count of orders pending optimization that have been accepted by ColdTrack Live. This number decreases rapidly as optimization is swift.
- Ready For Processing: Orders ready for the next step of processing, but not yet in the WMS. Considered 'Ready' to be sent to the WMS. This is the last status in which orders can be edited.
- Error Validation Check: Orders that did not pass fulfillability checks for issues like address, order contents, coolant, and other business logic. These orders usually require manual intervention and CTL CX team will reach out directly if clarifying information is needed.
- Error: Not Optimized: Orders with optimization issues or failures with details available upon clicking.
- Failed To WMS: Orders that were not received by the WMS due to technical problems requiring further investigation for issues.
Fulfillment:
- Ready For Fulfill: Orders waiting to be picked.
- Picked: Orders being picked or fully picked but not yet packed.
- Packed: Orders packed with a shipping label generated but no scan from the carrier yet.
- Error: In Review: Orders on hold or under review requiring further investigation for issues by the warehouse teams.
Shipping:
- In Transit: Orders acknowledged by the carrier as received and being shipped.
- Out For Delivery: Orders currently being delivered to customers.
- Delivered: Total delivered orders, with details on timing available upon clicking.
- Error: Issue With Delivery: Orders not delivered due to various shipping problems. Details available upon selection.
- Error: Tracking: Orders with tracking issues or errors.
- Error: Out For Delivery - Late: Orders out to be delivered later than expected.
Summary:
- Canceled: Orders scheduled for this week that were cancelled for any reason.
- In Optimization: Orders scheduled for this period that are currently in the process of optimization or fulfillment.
- In Fulfillment - Awaiting Pack: Orders scheduled for this period that have been sent to the WMS and are in the queue for pick/pack.
- Packed: Orders planned for shipping during the selected period.
- Shipped - Awaiting Delivery: Orders that have been shipped during this period, but have not yet arrived at their destination.
- Delivered On-Time: Orders delivered on schedule.
- Delivered Late: Orders delivered after the expected date.
Carrier and Performance Widgets
Below the main table, there are two additional sections that cover carrier performance and general performance along the fulfillment lifecycle.
Order On Time Performance by Carrier
On the left is a section for Order On Time Performance by Carrier:
- Note: This will only include your applicable carriers
You can hover over either the percentage or order total to see how many orders were delivered on time and late out of all orders for that carrier during the week:
Clicking on either one of these metrics will take you to a filtered order table to see the specific orders comprising the counts:
Performance Metrics
On the right is a Performance Metrics section. This section will show performance metrics from your orders for the selected week:
You can hover over any of the metrics to see the quantity associated with the percentages:
You can select these metrics to navigate to an Order Table filtered to the specific orders included in these metrics.
The metrics are percentages of the above table metrics in addition to two additional metrics:
- ColdTrack Performance: the % of orders that were shipped out on time in the given period.
- Combined Carrier Performance: the weighted average on time performance across all carriers during the period.
