The Inventory Table within ColdTrack Live holds the quantity and related data for your Inventory within each ColdTrack-managed warehouse location. Here, you can get a quick and interactive view of your current stock and identify low or even negative stock items (items you are out of that have orders demanding them) to determine if you need to replenish.
- Note: We cannot show you inventory for warehouses we don't fulfill out of at this time.
How to Navigate to the Inventory Table
Within the left-hand navigation menu, select the Inventory dropdown and select Items:
From here, select Item Inventory:
You can also navigate to this by using the Quick Navigation Menu and searching “Item Inventory”.
How to Read the Inventory Table
The Item Inventory table has 18 pre-set columns with information on your inventory - scroll to the right to see all the columns if your window isn’t large enough to display all of them. Each row within the table represents a single Item’s quantity measures and related metadata. Just like all CTL table views, once you make changes to the view, CTL will keep your previous filters and columns set when the page loads the next time you visit and you can also save a preferred view.
- For Example: You want to identify items with low or negative levels of inventory in a particular warehouse to determine what to do with affected orders:
- Within the table, sort by “OMS ATP”. This will sort all of the items by the inventory amount that includes unfulfilled orders that are needing that item.
- If you know the specific item you are looking for, you can add it to a filter to search (SKU or item name).
- Take note of the warehouse that the inventory is located within by looking at the Warehouse column.
- Compare the inventory amounts to determine which warehouse you want to send orders from.
- For Example: You are awaiting an inbound Purchase Order and want to confirm whether it has been received in and is available for order.
- Use the filters to look up any SKUs you are looking for.
- Look at the “Open PO” column. This will let us know the inbound Purchase Order has been received.
How to Adjust the Inventory Table
You can interact with the columns and filters to adjust the data within the table.
- Columns: Determine the data displayed within each table row. Add columns by toggling them on within the dropdown to show additional data, or toggle them off to remove columns and hide what you do not want to see:
- Filters: Narrows down the data set to only include items that meet the filter criteria.
- For Example: You may want to only view items that are below a particular level. To view this, go to the “OMS ATP” filter and set it to less than equal the desired level. When you click out of the filter, it will be applied and your data set will be narrowed down:
If you adjust your table in a way that you want to reuse, you can Create a Saved View to apply that view in the future!
Item Inventory Record
You may want to get all the information we have on an Item - including any substitution plans for when an item becomes out of stock. Clicking on an Inventory Item Id will take you to the Inventory Record page of that item, which includes all of an item’s inventory information sorted into 4 easy to use buckets: Identity, Status, Inventory Levels, and Dates.
Record Sections and Definitions
- Identity: Tells you descriptive information about the item:
- Id: The record ID of the Item Inventory (specific to ColdTrack)
- WMS Connection: Warehouse Management System Connection
- Client: ColdTrack Client
- Warehouse: The Warehouse that holds the inventory
- Item: The name or description of the item
- SKU: Stock Keeping Unit
- Status: Item Status (In Stock, Out of Stock)
- Item Not Found in WMS: Item record is not found in the WMS
- Inventory Level Not Found in WMS: the inventory level couldn’t be found in the WMS
- Stock status: Basic status whether an item is “In Stock” or “Out of Stock”
- Inventory Levels:
- WMS ATP (Warehouse Management System Available to Promise): Total quantity the warehouse has in stock to process future customer orders not including orders in CTL OMS
- OMS ATP (Operations Management System Available to Promise): Total quantity remaining for future orders after fulfilling all current orders in both CTL OMS and WMS
- Allocated (to WMS orders): Total quantity accounted for by Orders which are in the WMS
- Demand Pending WMS Release: Total quantity accounted for by Orders in CTL which have not yet been sent to WMS
- Open PO (Open Purchase Orders): Total quantity identified on ASN’s (PO’s / Item Receipts) which have not yet been received (i.e., inventory listed on inbound purchase orders but have not been received into stock or have not been moved from receiving to storage or pickable locations)
- On Hand: Total quantity of this SKU in a warehouse regardless of location, orders, usage etc.
- Unavailable: Total in locations that cannot currently be used, ie: shipping and receiving locations, or “frozen / damaged” locations
- Dates:
- Create Date: The date the item inventory record was created
- Modify Date: The last date there was an edit on the item inventory information
